Privacy Policy

Szimon AI is a support assistant that works inside Discord ticket channels. This policy explains what information it handles, why, and what choices you have. In this policy, "the operator" means the people who run this instance of Szimon AI and the communities it is added to.
Who this covers
- People who open tickets in a server where Szimon AI is active.
- Staff who sign in to this website with CirkleID.
What we collect
- Ticket conversations. The messages sent in a ticket channel, who sent them, the time, and the names of any attached files. This includes what you type to Szimon, what staff reply, and what Szimon says back.
- Account details from Discord. Your Discord user ID and display name, so Szimon can address you correctly and staff can see who opened a ticket.
- Form answers. If you complete an application or complaint form in a ticket, the answers you give are stored so staff can review them.
- Ratings. If you rate a ticket, we store the score against the ticket.
- Staff sign in details. When staff sign in with CirkleID we receive an account ID and display name. We keep a signed cookie in your browser for up to eight hours. We do not store your CirkleID password.
- Usage figures. Counts such as commands run, tickets answered and response times. These are totals and are not linked to you.
How we use it
- To answer questions and guide people through forms inside tickets.
- To let staff read tickets, step in, and continue a conversation where Szimon left off.
- To learn from staff answers so common questions get answered faster. Before anything is saved as knowledge, we remove email addresses, phone numbers, web addresses with tokens, mentions and similar personal details. Tickets about complaints are not used for learning unless the operator turns that on.
- To keep the service reliable and to see how well it is working.
Artificial intelligence
Szimon AI answers from its saved knowledge first. When it needs more help, a small part of the conversation and a few relevant passages of saved knowledge are sent to a third party AI provider to write a reply. We limit how often this happens. Do not share passwords, payment details or other secrets in a ticket.
Young people and sensitive matters
Some communities that use Szimon AI, such as schools, have users under 18. Tickets there may contain personal or sensitive information. If a message suggests someone is at risk of harm, Szimon AI will point to emergency and support services and alert the relevant staff. It does not make safeguarding decisions. Staff and the community's own policies are responsible for those.
Who can see your information
- Staff of the community where you opened the ticket, and the operator's dashboard users.
- Service providers that host the website, store data and process AI requests on our behalf.
- Anyone the law requires us to share information with.
We do not sell personal information.
How long we keep it
Ticket records stay available to staff until the operator deletes them. Knowledge that Szimon has learned stays until it is edited or removed in the dashboard. You can ask for your information to be removed, as described below.
Your choices and rights
Depending on where you live, you may have the right to ask what we hold about you, to correct it, to delete it, or to object to how it is used. To make a request, contact the operator through the server where you use Szimon AI and include your Discord username. We will reply within a reasonable time and in line with the law that applies to you.
Security
Access to the dashboard needs a CirkleID sign in from an approved account. Connections use encryption. No system is perfectly secure, so please share only what is needed to get help.
Changes
We may update this policy. The date at the top shows when it last changed. Continuing to use Szimon AI after a change means you accept the updated policy.
